BASIC FUNCTION OF POSITION

The Human Resources Clerk is the office manager in the FSN Unit. The job holder serves as the help desk and is responsible for the administration and management of communications, correspondence and records including monitoring tasking and documents, and providing supports to the recruitment team.


QUALIFICATIONS REQUIRED

All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item.



  1. Two years of a college studies in office management/secretarial/business administration is required.

  2. Must have two years of specific and progressively more responsible work experience in secretarial/administrative or office management with at least one or more years of this experience with an international organizational.  

  3. Level 4 (fluent) speaking/reading/writing in English and Bahasa Indonesia are required. Language proficiency will be tested.

  4. Must demonstrated proficiency in typing various correspondence formats: (i.e. memoranda, letters, reports, faxes, etc.) as well as standardized documents and forms are required.  A thorough understanding of organizational structure specific to administrative management procedures, which govern secretarial and administrative support functions in a busy office environment, is required. The job holder will be considered the resident technical "hands-on" expert in all facets of office management and administration for all categories of employees assigned to the Human Resources Office.

  5. Ability to do multi-tasking assignments under pressure and to work effectively in a team environment. Ability to maintain strict confidentiality relating to all areas of Human Resources matters as/when appropriate or required.  Ability to organize, prioritize, and follow through on all assignments with little or no oversight.  Must have excellent interpersonal and communication skills to develop and maintain a collaborative working relationship within the Human resources Office and other Mission offices.

  6. Must have demonstrated proficiency in office computer application programs, email and internet use.

Recruitment




  • Ensure all vacancies are filled with suitable candidates within the targeted time.

  • Maintains an active and organized data bank of applicants for various positions.

  • Develops assessment tools for selection process.

  • Schedules interviews and ensure departmental heads give feedback on each candidates.

  • Designing induction process for new hires and conducts new employee orientation.



Training development




  • Identifying employee training and development needs, and for planning, organizing appropriate training within organization through job analysis, appraisal schemes and regular discussion with managers.

  • Make yearly Training Plan and monitor and reviewing the progress of trainees through questionnaires and discussion.

  • Offer specific training programs to help workers maintain or improve job skills.

  • Monitor, evaluate and record training activities and program effectiveness

  • Monitor training costs to ensure budget is not exceeded, and prepare budget reports to justify expenditures.



Person requirement




  • Good interpersonal and verbal skills to interact with employees or trainees.

  • Knowledge about the work field and keeping in touch with the new developments in area of expertise is necessary to formulate training programs

  • Bachelor’s degree in some field like psychology, literature, human resources, management or computers.

  • Having experience min. 3 years in same field

  • Knowledge of computer is essential to do documentations and give presentations.

Job Qualification :


Responsibilities:





  • Perform monthly payroll


  • Assist in recruitment of contract staff


  • Prepare employment contracts and correspondences


  • Administer and update leave application and staff duty roster


  • Maintain staff personnel files


  • Ensure HR policies and procedures are adhered to


  • Other administrative duties as and when required



 



Requirements:





  • Willing to travel to Lippo Karawaci, Indonesia


  • Possess a good professional qualification in Human Resource


  • Minimum 1 year of relevant experience


  • Knowledge of employment laws and labour laws


  • A team player with excellent interpersonal skills & positive working attitude


  • Self motivated individual who can work independently and under pressure


  • Diplomatic with sense of urgency and initiative


  • A hand-on person with keen eye for details


  • Meticulous and well organized


  • Able to multi-task, ability to set priorities and meet tight deadlines


  • Good command of spoken and written English
